Job Title: Administrative Assistant

Reports To:  Executive Director               

Hours/Status:  Full Time/Non-Exempt

The Administrative Assistant will report to the Executive Director (ED).  This role will be responsible for providing administrative support to the ED as well as manage other administrative tasks across the organization.  

The Administrative Assistant is responsible for all of the following:

Executive Director Support:

  • Provide high level administrative support to the ED, to include monitoring email, composing and creating correspondence, compiling informational letters, brochures, etc. 
  • Maintain the ED’s calendar and facilitates real-time scheduling support by owning invites, booking appointments, and preventing conflicts
  • Coordinate in office events to include scheduling, room set up, catering, and recruiting volunteer assistance if needed
  • Provide support as needed for all meetings and events in which the ED will be involved
  • Confirm accuracy of key analytics and reporting for the center as well as provide maintenance of client services
  • Respond to the requests and inquiries from external sources and from other entities on behalf of the ED
  • Preparation of all necessary documentation for board meetings and all presentations
  • Provide assistance with grant preparations to include gathering all pertinent data to be submitted to the ED for review
  • Interact seamlessly and with a professional demeanor across a broad range of individuals including members of the administrative team, Board of Directors, and leaders that report to the ED
  • Handle highly sensitive and confidential information while exercising professionalism and discretion
  • Anticipate the needs of others to ensure a positive experience

Administrative Support:

  • Compile Client Contact Report to include center numbers regarding calls, texts, forms, appointments made, appointments kept and abortion minded clients 
  • Print brochures and forms for in-house use ensuring that each location is fully stocked
  • Proofreading/editing articles for newsletters, brochure content, and web content
  • Ordering marketing materials such as brochures, pens, labels, etc.
  • Provide confirmation of marketing strategies weekly by visiting all social media sites, landing pages for continuity and accuracy
  • Ordering office supplies
  • Other duties as needed

  • Bachelor’s degree or comparable business and/or previous Administrative career experience

  • Intermediate to advanced skills in Google workspace and Microsoft Office products
  • Experience with Canva
  • Self-starter with ability to multi-task, learn quickly and make complex decisions
  • Spiritual maturity
  • Willingness to pursue ongoing training

Working Conditions:

  • The Administrative Assistance will work Monday - Thursday from 8:30 am –5:00 pm. Additionally, the Administrative  Assistant may work evenings, weekends, and additional hours to accommodate activities such as Board meetings, in-service training and representing the Ministry at public events.
  • The Executive Director will conduct an annual review of job performance.

Staff Nurse

Objectives of the position: The staff nurse assists with the provision of client care and medical service operations.
Status: There are full time and part time positions available at this time.
Reports to: Clinic Director, Medical Director, and Executive Director

Qualifications:

  • Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Savior and Lord

  • Agree with and be willing to uphold the Statement of Faith, Mission Statement, Core Values, and the policies of the center.
  • Be licensed as a registered nurse or licensed vocational nurse in the state of Texas, in good standing.
  • Clear background check (conducted annually)

  • Physical Requirements:
  • Must be able to lift and carry 40+ pounds up to waist high level
  • Must be able to bend, stoop, crawl, walk, reach, climb on a step stool or ladder, and be able to be sedentary or stand 50% of the time
  • Must be able to hear, see, and speak in order to communicate with clients and volunteers efficiently
  • Essential Functions:
  • Perform the following duties in accordance with existing medical policies and procedures and standing orders under the supervision of the Clinic Director.
  • Provide clinical services in accordance with level of expertise and training.
  • Conduct patient intake, complete appropriate documentation, verify appropriate consents and forms.
  • Provide information to patients on pregnancy and parenting options and make appropriate community and resource referrals.
  • Follow-up with patients, clients and referrals as needed.
  • Provide support to the other medical staff, including chaperoning ultrasound exams.
  • Conduct regular inventory of medical and clinic supplies, ensure that the clinic inventory is valid and relevant and communicate needs to the Clinic Director.
  • Ensure medical equipment is clean and functioning properly, disinfect equipment as required, maintain quality control logs as required.
  • Ensure the facility is neat, clean and safe and is warm and welcoming to our clients and volunteers while maintaining confidentiality and privacy.
  • Follow procedures and policies for all medical emergencies.
  • Maintain an active Texas nursing license and CPR certification, comply with state and professional licensing and continuing education requirements.
  • Annual review of center policies and procedures, infection control regulations, and safety procedures.
  • Other duties as assigned.
